NEC Meeting Minutes 25th October 2010

Approve minutes of last meeting.

The minutes of the previous NEC meeting were approved and have been published.

Matters arising

Party Registration Renewal

Loz Kaye has spoken to Peter Liddell regarding the outstanding form to renew the party registration. The NEC is extremely concerned that there are only seven days remaining and we do not yet have confirmation of the renewal. Peter Liddell is waiting for confirmation from the Electoral Commission that these have been actioned.

Action: Peter Liddell will email the officers list once he receives confirmation.

Action: Loz Kaye will contact Andrew Robinson and ask him to check the status with the Electoral Commission.

Change of Officers Forms

Need to get an update on the change of officers forms.

Time of meeting

Those present agreed to move the meeting to 9pm from next week to better accommodate Peter Liddell’s availability.

Pirate Radio request

Loz Kaye has been contacted regarding providing news etc for their podcast. John Barron requested more details be emailed to the officers list so that everyone can get a better look at what this is.

Action: Loz Kaye will post the details to the officers list.

Web placement request

Loz Kaye has received a request from someone looking for a placement to help with the web side of things.

Action: Loz Kaye will contact him and find out more.

Change of officer forms

As a belt and braces in this regard, Peter Brett and Loz Kaye will fill out new forms and send them to John Barron.

Party renewal form

Peter Liddell noted that Electoral Commission forms have been sent again, and that he called them again today, but they couldn’t confirm receipt. He will call them tomorrow and look at sending them by email if still no confirmation. John Barron noted that they may not accept email, but that they do accept fax.

Officer change forms

Peter Liddell will email the scanned forms to the mailing list tomorrow. John Barron will pick these up and liaise with Andrew Robinson to get them signed and posted to the Electoral Commission. Action: Updates will be posted to the mailing list as this process proceeds by all concerned.

Renewals process

Action: Miah to email Tom Lilley and Pete Liddell to try and get this finished off.

New server

Tom Lilley would like to move the server to an alternative hosting company, for a variety of reasons, including reliability concerns, access to the control panel and a need to tidy up the installation.

The NEC agreed that funds can be used to set up a replacement server, on the basis of a similar cost to the current hosting agreement.

Co-op bank account

Peter Liddell is trying to get hold of Andrew Robinson to tie this up.

Bank of Scotland bank account

Account is fully open. Direct debits from the old co-op account need to be transferred over.

Paypal account

The new bank account has been added to the paypal account and Peter Liddell will look to obtain a statement from the bank tomorrow to allow us to complete the confirmation process.

Donations via bank transfer

Peter Liddell noted that some members wish to donate via direct bank transfer. For this, we need some sort of disclaimer/statement along the lines of what's already in place on the website for when people donate.

Action: Peter Liddell will put a statement together and send it to the officers list for discussion.
