NEC Meeting Minutes 3rd April 2011

Attendees

  • Loz Kaye
  • Peter Brett
  • Phil Cooke
  • John Barron
  • Miah Gregory

Apologies

Minutes

Minutes of previous meeting were approved.

Vote of No Confidence

The result of the vote was quite clear - there are some concerns over how the result was obtained however we can move forward on the result of this vote now.

There was some confusion from the admin interface point of view, and some of the text seems misleading. Phil Cooke is aware of this and it has been added to the to-do list.

New membership process

Peter Brett has been trying to work on this, however as the process is not clear it has been hard going. Phil Cooke is continuing to look into this and hopes to get a couple of the web team members looking at the code and starting to document the processes.

Process behind running the vote

There were a number of problems with the way the vote ran, including finish time (late on a Friday), lack of clarity over who should prepare/publish the results, lack of understanding as to how the results should be prepared, etc.

‘’‘Action: Phil Cooke to update results page with HTML detailing the result, plus link to ballot file so members can check their vote receipts etc.’‘’

Reflection on VoNC process

Loz Kaye reflected on the VoNC process and felt that it showed why the constitutional changes made previously were important.

Scotland Update

No update on this - Finlay Archibald not available for comment.

Loz Kaye is coming up to Glasgow in the coming week.

Party registered address

Miah Gregory had no new information to report on this, as he is waiting for feedback from Finlay Archibald.

John Barron and Loz Kaye were both keen for the new solution to go active in relation to the electoral commission following May 6th 2011, allowing us to free up Andrew Robinson.

Phil Cooke suggested that some non-electoral addresses could be changed over sooner.

Any other business

Graeme Lambert - candidate

Graeme Lamberts papers have now been submitted.

Co-op bank account

Miah Gregory has been in touch with co-op and Andrew Robinson. Co-op have confirmed that the bank account has now been closed. Andrew Robinson will request a full set of statements for the accounts, which will cost the party around £32.

Peter Liddell

Miah Gregory has been regularly calling Peter Liddell to try and organise handing over the treasury and paperwork, but has been unable to speak to him.

Miah Gregory stressed to the NEC how critical this problem is, with the corporation tax return being outstanding, and also noted as a secondary issue the missing funds from the conference.

It was decided that a letter should be sent to Peter Liddell by recorded delivery to the address on our records, requesting the return of all party materials within seven days of receipt of the letter.

It was noted that should the funds not be returned, we should consider our options for recovery.

‘’‘Action: Miah Gregory will email Loz Kaye the address to send the letter to.’‘’

‘’‘Action: Loz Kaye will talk with Will Tovey to get a suitable letter drafted informing Peter Liddell of the result of the VoNC and request the return of party materials. This will be circulated via the NEC mailing list.’‘’

Miah Gregory - apologies

Miah Gregory will be away on holiday for the next couple of meetings, and asked that any outstanding financial needs during this period should be communicated within the next day or two.

‘’‘Action: Loz Kaye will contact Graeme Lambert to let him know’‘’

‘’‘Action: John Barron will contact Stephen O to check with the South East Candidates’‘’

Virtual machine backups

Miah Gregory approved the addition of backups to our hosting package. Phil Cooke will get these up and running to give us an additional level of protection against data loss.

Web team meeting

Minutes for the meeting have been posted on the Wiki.

Borgs and tuoni are both ready to fire in to work, waiting on sorting data protection agreements which are currently being discussed by Miah Gregory and Phil Cooke.

Loz Kaye would like to see more consistent use of the social media accounts to better get the Party message out there.

Loz Kaye in London on Friday

Loz Kaye will be in London on Friday, and is looking forward to catching up with a number of members.
