NEC Meeting Minutes 9th August 2010

Summary
Minutes of previous meeting approved.
Merchandising. Peter Brett hasn’t had any volunteers to take this over, so he will be continuing this for now. Andrew Robinson will email the login details for spreadshirt to Peter Brett so that we have multiple points of contact. Peter Brett has a quote for silk screen printed vinyl labels. Action: Andrew Robinson to email spreadshirt login details to Peter Brett. Peter Brett will email the quote to the officers list for perusal.
Current elections. Not much to say on this. Philip Hunt is standing in his local council elections.
ICO renewal form - waiting on Peter Liddell moving house. Action: Miah Gregory will find out how complicated it is to change the address post-registration.

Membership renewals. First few renewals will be going out in the next week or so - Tom Lilley extended them by a week.
Finance for Bury gig. Graham Lambert has emailed the list regarding this, and it should be mostly self financing. The maximum we would have to pay, worst case would be a cost of £675 + PRS fees (not clear on how much these are, however expected to be less than £50 if required). Break even is 96 tickets. NEC agrees this should go ahead.
Finance for Student Packs. Looking at £450 plus postage to make and send out the packs, but will be asking people to pay for these packs so should break even eventually. NEC agrees this should go ahead.
Finance for membership pack stickers. Peter Brett has a good quote for this. NEC agrees this should go ahead.
Suggestion that we circulate a balance sheet every week and/or put together some kind of budgeting. Action: Peter Liddell will look to get something organised in this regard.
Job specification for Data Controller / Party Secretary is needed. Action: Miah Gregory will make a start on this.
Electoral commission forms regarding central costs have been returned and we have had confirmation.
We also don’t need to do any further quarterly loan returns, and only one more donation return.
